Acceptable Use Policy

In plain English
Use Vaadify to run your rental shop. That is what it is for.
Do not use it to break the law, to hold people's details you have no right to hold, to send unwanted marketing, or to poke at other shops' data.
If something here is broken, we will normally warn you first and give you a chance to fix it. If it is serious, we may switch the workspace off straight away.
A summary to help you read this. It is not the agreement — the sections below are.
1. What this policy is
This Acceptable Use Policy sets out what you must not do with Vaadify. It forms part of the Terms of Service at https://vaadify.com/legal/terms-of-service, and breaking it is a breach of that agreement.
It applies to everyone in your workspace, and the business that owns the workspace is responsible for all of them.
2. Do not break the law
Do not use Vaadify:
- for any unlawful purpose, or to help anyone else with one;
- to rent out goods you may not lawfully rent out;
- to evade tax, to produce a document you know to be false, or to disguise who a transaction is really with;
- to launder money, or to take payment for something illegal;
- to infringe anyone's copyright, trademark or other rights.
3. Do not hold data you have no right to hold
- Only enter personal data you have a lawful basis to collect and keep.
- Give your own customers the notice the law requires, and get whatever consent it requires.
- Where you record a government identity document — Aadhaar, PAN, driving licence, voter ID — satisfy yourself that you may lawfully collect and keep it. Some identity numbers are restricted in ways consent alone does not cure. The field existing in Vaadify is not our advice that you should use it.
- Do not enter a child's personal data without the verifiable consent of their parent or guardian.
- Do not upload data you obtained from someone else's list, database or leak.
- Delete or correct a customer's data when they ask you to and you have no lawful reason to keep it.
4. Do not send unwanted messages
Where Vaadify sends messages to your customers — WhatsApp, email or otherwise:
- send them only to people who have agreed to hear from you, and keep the record of that agreement that Vaadify captures;
- keep them about the rental: a booking, a reminder, an invoice, a receipt, a return;
- do not use the WhatsApp integration for unsolicited marketing. Meta's own rules forbid it, and it is your Meta account that gets restricted, not ours;
- stop messaging someone as soon as they ask you to;
- do not impersonate anyone, and do not send anything abusive, threatening or obscene.
5. Do not interfere with the service or other shops
Do not:
- try to reach data belonging to another shop, or test whether you can;
- probe, scan or attack our systems, or those of the companies we rely on;
- get around, or try to get around, sign-in, plan limits, or any security control;
- use automated tools that place unreasonable load on the service, or that degrade it for other shops;
- scrape the product, or extract data through anything other than the features and exports we provide;
- upload a virus, or anything designed to damage or gain unauthorised access;
- take the software apart to work out how it is built, copy it, or produce something derived from it, except where the law gives you a right we cannot exclude by contract.
Found a security problem? Tell us at [email protected] before you tell anyone else, and do not access other people's data while proving it. Report it in good faith and we will not treat it as a breach of this policy.
6. Do not resell it as your own
Do not resell, sublicense, rent out, white-label or otherwise offer Vaadify to other businesses as a service, unless we have agreed it with you in writing. One workspace is for one business.
Do not share one sign-in between several people to avoid adding users, and do not create extra workspaces to get more free trials.
7. What happens if this policy is broken
Where it is safe and lawful to give notice, we will tell you what is wrong, say what needs to change, and give you a reasonable time to fix it. That is the normal path, and most of what lands here is a misunderstanding rather than bad faith.
Where it is not safe to wait — an active attack, an attempt to reach another shop's data, a legal order, a serious risk to someone's safety or to other people's data — we may suspend the workspace immediately and tell you afterwards.
Depending on how serious it is, we may:
- ask you to stop or to remove something;
- switch off a particular feature;
- suspend the workspace, which locks it but deletes nothing;
- close the account, under section 20 of the Terms of Service;
- report the matter to the authorities, where the law requires it.
A suspension does not entitle you to a refund of fees already paid.
8. Appealing
If you think we have got it wrong, write to [email protected] or to our grievance officer at [email protected]. Say what happened and why you think the decision is wrong.
We will look at it again and reply — we acknowledge within two working days and resolve within fifteen working days. If we were wrong, we will restore the workspace and say so. Full details are at https://vaadify.com/legal/contact-and-grievance.
9. Changes
We may update this policy as the product changes or as we learn about new kinds of misuse. Material changes get 30 days' notice, the same as the Terms of Service.
